Feature Focus: Role Assignment Manager

What is the Role Assignment Manager

What is the Role Assignment Manager in Mission Control?

The Role Assignment Manager is a powerful component of the Resource Planner within Mission Control, the Salesforce-native Professional Services Automation (PSA) solution. It gives Resource Managers full visibility into how roles are allocated across multiple projects over a given timeframe. By enabling a centralised view of role assignments and project demand, this tool plays a pivotal role in optimising resource planning and preventing over- or under-utilisation of team members.

This feature is particularly useful for organisations that operate with large, dynamic teams and multiple concurrent projects. Rather than having to navigate between individual project records or resource calendars, the Role Assignment Manager consolidates all relevant data into one centralised, configurable interface. It simplifies decision-making for Resource Managers by highlighting available capacity and identifying potential bottlenecks across your project portfolio.

Whether you need to forecast resource needs, ensure balanced workloads, or realign resources based on shifting project priorities, the Role Assignment Manager gives you the control and visibility needed to manage resource assignment effectively. It acts as the command centre for strategic resourcing, offering a real-time overview of current and future role allocations across your organisation.

Key Features of the Role Assignment Manager in Mission Control

The Role Assignment Manager is loaded with functionality designed to simplify and enhance resource management. At its core, it allows users to view, create, edit, and compare Role Forecast records against actual Action assignment hours for roles working on various projects. This comparison is what enables Resource Managers to spot imbalances between planned and actual utilisation—referred to as “double resourcing”.

One standout capability of the Role Assignment Manager is its powerful filtering system. Users can tailor their view by setting a specific date range, grouping roles by criteria such as Role, Master Team, or Function, and applying filters to include only relevant roles or projects. Saved filters can be reused, and pagination allows for easy navigation across a large volume of records, with up to 25 roles and projects viewable per page.

Additional features include quick search functionality, adjustable settings for billable and non-billable visibility, and customisable modal fields via field sets. Users can also adjust how many roles or projects are shown per page and choose to hide specific columns or data rows to tailor the view to their needs. This configurability ensures each Resource Manager can work with the layout and information most relevant to them.

How to use the Role Assignment Manager in Mission Control

Access to the Role Assignment Manager is managed via a permission setting on each user’s Role record in Mission Control. Once granted access, users can navigate to the Role Assignment Manager via the Resource Planner. From there, they begin by configuring their Settings & Filters—setting the reporting period, grouping criteria, and selecting which Roles and Projects to view.

Upon loading the filtered results, users are presented with a detailed table where each Role is shown with at least two rows: one for Role Forecast hours and one for Action hours. These rows allow Resource Managers to compare how many hours were forecasted for a role versus how many have actually been assigned through Actions. In cases where additional skills are associated with the Role Forecast, extra rows are added to further break down the allocation by skill.

Creating a Role Forecast is straightforward. By double-clicking into a cell and entering billable or non-billable hours or percentages, a modal appears where the user can complete additional information such as Skill, Start Date, End Date, Billing Rate, and Cost Rate. Editing and deleting Role Forecasts is equally intuitive—simply double-click to make changes or remove records. A yellow warning icon alerts users to any unsaved changes, and a final “Save” action confirms all updates.

Conclusion: Why Managing Double Resourcing Matters

Effectively managing double resourcing is essential to the successful delivery of any project-based business. The Role Assignment Manager in Mission Control provides the oversight needed to ensure that forecasted hours are aligned with actual task allocations. This real-time comparison enables Resource Managers to make proactive decisions—either reallocating underutilised resources or adjusting project plans to better align with staffing needs.

By leveraging the Role Assignment Manager, organisations can reduce the risk of overallocation and avoid project delays caused by resource shortages. It also helps increase billable utilisation by ensuring that every hour assigned aligns with forecasted expectations, helping teams hit their delivery and financial targets.

Ultimately, the Role Assignment Manager strengthens your resource planning process, improves cross-project visibility, and ensures optimal workforce utilisation. It’s a must-have feature for any professional services team using Mission Control on Salesforce to scale their delivery operations with precision and confidence.
